Spotlight: Checking In to Smarter Inspections at DoubleTree by Hilton Toronto Downtown

Name and position

Varun S., Director of Security Operations and IT Manager, DoubleTree by Hilton Toronto Downtown

What challenges were you experiencing with your inspection process before Tap Report?

Before Tap Report, a lot of the inspection process was manual. We were relying on emails, photos, notes and follow-ups between departments. The inspections were getting done, but keeping everything organized and going back to review previous issues would sometimes take more time than it should.

How has your inspection process changed since implementing Tap Report?

It has definitely made the process more organized and consistent. The team can complete the inspection, add photos and comments, and everything stays in one place. It also makes my review easier because I don’t have to search through emails or separate reports.

What has improved the most for your team?

Accountability and documentation have improved the most. The team knows exactly what they need to check, and from a management side, we have a much clearer record of what was found and what requires follow-up.

Can you share a specific example of how using Tap Report has improved an outcome?

A good example would be when we come across a maintenance issue during an inspection. The team took a photo, added the exact location and details, and documented it right away. It made it so much easier to communicate the issue to the right department and follow up afterwards.

In the past, you would have a photo in one email, a conversation somewhere else, and then another follow-up later. Now the information is much easier to track.

How do you leverage inspection results and analytics?

I use the results to look for recurring issues and areas that may need more attention. If the same type of problem keeps appearing, we can see that pattern and work with the appropriate department to address it, rather than treating every issue separately.

It also helps when reviewing overall performance and discussing recurring concerns with the team.

From a leadership perspective, what do you find most valuable about Tap Report?

For me, it is the visibility. I can see what the team is finding during inspections and what is actually happening around the property without having to be physically present for every inspection.

Having the photos, comments and inspection history together also makes follow-up much easier.

What would you say to another organization considering Tap Report?

I would say that it is more than just a checklist. If you use it properly, it gives you a good way to organize inspections, improve accountability and keep a clear record of what is happening in your operation.

For a property like ours where there are multiple areas to inspect and different departments involved, having everything in one place has been very useful.
